Job Title: Recruitment Assistant

Purpose of Job

Provide frontline operational support in recruitment of staff to AUC departments/directories.
Participate in recruitment processes and activities to ensure the smooth running of all recruitment procedures.

Main Functions

Provides timely operational support;
Preparation of office communications and draft reports.
It manages communications at the operational level and ensures modernization;
Provide support for the collection and maintenance of data and information for the preparation, implementation and monitoring of budgets, activities, etc.
Plans and drafts operational work schedules and monitors impimplementation
Coordinates and/or participates in technical assistance and/or logistical work;
Provide support for the creation, improvement and maintenance of operational processes and systems;

Specific Responsibilities

Provide support for the provision of comprehensive first line information about recruitment to departments and responding to recruitment related queries in a responsive and client focused manner;
Coordinates the scheduling and organizing shortlisting and interview sessions for client departments
Makes logistical and administrative arrangements for shortlisting and interview exercises for panels and candidates;
Provides support for processing appointment decisions by submitting all relevant and complete documents to the appointing authority.
Creates contracts on SAP upon appointment of successful candidate;
Undertakes clerical and administrative work related to recruitment;
Coordinates travel for fly-in candidate;
Maintains candidate database and ensures record keeping for all recruitment activities;
Delivers accurate shortlisting and Interview reports using success factor;
Conducts follow up on recruitment decisions to ensure their timely implementation;
Prepares weekly activity report of shortlisting and interview for submission to the recruitment officer
Ensures reference checking for successful candidates;

Academic Requirements and Relevant Experience

A Diploma in Human Resource Management, Administration or any other related field with five (5) years’ experience in administrative work in similar international organizations.

Or

Candidates with Bachelor’s Degree are required to have two (2) years’ experience in administrative work in similar international organization.

Proficiency in one of the AU official working languages (French, English, Portuguese, Arabic, Spanish) and fluency in another AU language(s) is an added advantage.

Tenure of Appointment

The appointment shall be for an initial period of two (2) years, the first six (6) months of which shall be on probation. It shall be renewable subject to performance and availability of funds.

Languages:

Proficiency in one of the AU working languages (Arabic, English, French, Portuguese, and Spanish) and fluency in another AU language is an added advantage.

Remuneration
The salary attached to the position is an annual lump-sum of US$50,148.396 inclusive of all allowances for internationally recruited staff and US$21,354.35 inclusive of all allowances for locally recruited staff.

Number of Positions: 6
Job Grade: P2
Contract Type: Fixed Term

Purpose of Job

Oversee the entire recruitment process for assigned positions by managing internal and external stakeholders, starting with developing job descriptions with recruitment services, writing and publishing advertisements, creating lists of qualified candidates, selection and interviews, and managing job offers and related documents.

Main Functions

Provides support for the monitoring and evaluating of predefined recruitment strategic plan.
Suggests new and expands on existing policy areas for planned research.
Contributes in conducting analysis and generate accurate reports in a timely manner for the respective Unit/Division and AU’s internal use.
Supports the promotion of the activities of the Division including preparing leaflets, guidelines and fact sheets.
Prepares draft reports and participates in the preparation of budget and work programmes related to the functioning of the Unit/Division
Provides technical support to internal and external stakeholders.
Provides support in setting the overall research direction and execution of relevant policy areas.
Coordinates the organisation of relevant meetings, congresses and conferences with stakeholders.
Engages with relevant mid-level stakeholders and develop working relationships.

Tenure of Appointment

The appointment will be made on the basis of a two (2) year fixed-term contract of which the first six (6) months are a trial period.
Thereafter, the contract may be renewed for a similar period subject to availability of funds, satisfactory performance and agreed deliverables.

Proficiency in one of the AU working languages (Arabic, English, French, Portuguese, and Spanish) and fluency in another AU language is an added advantage.

Remuneration
The salary attached to the position is an annual lump sum of US$ 85,212.07 (P2 Step 5) inclusive of all allowances for internationally recruited staff and US$  66,751.81  inclusive of all allowances for locally recruited staff of the African Union Commission.
